The verdict in three sentences
With 1,200 leads a month, a property developer's sales team spends most of its time on the 70% of contacts who cannot buy. An AI scoring engine connected to WhatsApp and the property portals rates every lead on budget, deposit, timeline and financing, replies in under 5 minutes and routes the best files to the right salesperson. In 2026 the market charges roughly EUR 4,000 to 12,000 for setup and EUR 100 to 300 a month in API costs, and the deployments we track show sales-office visits multiplied by 1.8.
Why 1,200 leads a month are not 1,200 prospects
A developer marketing three schemes at once (a mid-range block in the suburbs, a premium building in the city centre, an entry-level programme further out) receives enquiries through five channels with very different quality and speed. Click-to-WhatsApp ads bring volume, portals bring browsers who compare ten listings in one evening, and the developer's own website concentrates the buyers who are furthest along.
| Source | Leads per month | Estimated qualified share | Current average response time |
|---|---|---|---|
| Property portal A | 380 | 30% | 6 h |
| Classifieds portal B | 290 | 22% | 9 h |
| Meta click-to-WhatsApp ads | 340 | 25% | 3 h |
| Developer website | 110 | 45% | 4 h |
| Calls and walk-ins | 80 | 50% | Immediate |
| Total | 1,200 | About 30% | 5 h weighted average |
Volume is not the issue, processing order is. When salespeople answer in order of arrival, the expatriate couple holding a mortgage pre-approval waits six hours behind twenty price requests that will never convert. The chance of booking a visit drops sharply after the first hour, because a serious buyer has already messaged two other developers.
What the scoring evaluates and how it replies
The engine combines simple rules with a language model. The WhatsApp assistant asks four or five short questions in the buyer's language, extracts the answers and computes a score out of 100. Portal leads receive an automatic first WhatsApp message when a number is available, otherwise an email.
| Criterion | Question asked | Weight | Strong signal |
|---|---|---|---|
| Budget | What budget are you targeting? | 35% | Budget matches the scheme's entry price |
| Deposit | Do you have a deposit available? | 25% | 10 to 30% of the price |
| Financing | Mortgage, cash or public support scheme? | 20% | Bank pre-approval or cash purchase |
| Timeline | When do you plan to buy? | 15% | Within 6 months |
| Engagement | Responsiveness, documents sent | 5% | Reply within 10 minutes |
Three tiers drive the next step. An A lead (70 points or more) is assigned within 5 minutes to the salesperson in charge of the scheme, with a proposed visit slot. A B lead (40 to 69) receives the brochure, an indicative financing plan and a follow-up after 48 hours. A C lead (under 40) gets a courteous reply, a pointer to the entry-level scheme if the budget fits, and information on any public home-buying support available locally.

If Kolonell builds it, the project falls under our custom application grid: simple at 2,500,000 to 4,000,000 FCFA (EUR 3,810 to 6,100), medium at 4,000,000 to 7,000,000 FCFA (EUR 6,100 to 10,670), with maintenance at 35,000, 75,000 or 120,000 FCFA a month. Three schemes and five sources usually land in the medium tier. On compliance, GDPR in Europe (or the local data protection law elsewhere) requires a lawful basis, clear information to the prospect and a defined retention period.

Sofia, sales director at a residential developer in Lisbon, manages six salespeople. Before scoring, her 1,200 monthly leads produced a 4% sales-office visit rate, or 48 visits, and 12% of those visits ended in a reservation, about 6 sales a month.
After deployment, the visit rate is multiplied by 1.8: 48 × 1.8 = 86 visits. At the same 12% conversion, Sofia gets about 10 reservations, 4 more per month. At an average unit price of EUR 320,000, that is EUR 1,280,000 of additional reserved revenue each month. First-year cost, with EUR 9,000 of setup and EUR 200 of monthly API, comes to 9,000 + 2,400 = EUR 11,400. Her team also spent about 6 minutes qualifying each lead, 120 hours a month; they now handle only the 360 A and B leads, 36 hours. That frees more than 80 hours of selling time per month.
FAQ
Could scoring push away good buyers?
The risk exists, so there is a monthly check: a salesperson reviews 10% of C leads, and weights are adjusted if more than 5% of them turn out to be qualified. No lead is deleted, it is simply handled later.
Do we really need the official WhatsApp Business API?
Yes. The standard WhatsApp Business app allows neither automation nor routing across six salespeople. Meta charges template messages sent outside the 24-hour window, roughly USD 0.03 to 0.10 each depending on category and country.
How long does it take to launch?
Plan 6 to 10 weeks: 2 weeks of scoping and collecting real conversations, 3 to 5 weeks of development, then 2 to 3 weeks of running in on a single scheme before extending to all three.
How do we handle overseas buyers?
They often make up 15 to 20% of qualified leads. The assistant detects the foreign country code, adapts callback hours to the buyer's time zone and offers a virtual tour or a power-of-attorney purchase path.
What does data protection law require?
Under GDPR the prospect must be told the purpose of processing and be able to object, and the retention period, for example 24 months for an inactive lead, must be set and enforced. Outside Europe, local laws such as Morocco's law 09-08 add a declaration to the regulator.
