The verdict in three sentences
AI does not price a renovation job on its own: it structures the estimate from a description, photos or a survey, then pulls prices from your price library. Without a clean library of 2,000 to 8,000 items (materials, labour, composite work items), no tool will be reliable. With one, a standard estimate drops from 2 hours to 15 to 30 minutes, human validation included, for a budget of 10,000 to 35,000 EUR.
How an AI estimate generator works
- Input: dictated site visit notes, photos, plan or measurements, customer description.
- Breakdown: AI proposes a list of work items (removal, preparation, installation, finishing) and quantities from the measurements.
- Pricing: each work item links to a library item with its price, installation time and margin coefficient.
- Checks: alerts on inconsistencies (abnormal quantity, missing item, VAT at 5.5%, 10% or 20% depending on the work in France).
- Validation: the owner or site manager corrects and signs, then the estimate goes to the customer with e-signature.
| Step | Manual estimate | AI-assisted estimate | Estimated gain |
|---|---|---|---|
| Cleaning up visit notes | 20 min | 3 min (transcribed dictation) | 85% |
| Choosing work items and quantities | 45 min | 8 min | 82% |
| Looking up prices and calculations | 35 min | 2 min | 94% |
| Layout and terms | 15 min | 1 min | 93% |
| Review and validation | 5 min | 10 min | strengthened |
| Total | 2 h | about 24 min | 80% |
These gains are 2026 estimates for recurring jobs (bathroom, kitchen, painting, joinery). For heavy structural renovation, the share of human validation stays high.
Budget: off-the-shelf software or custom module
| Criterion (2026 estimate) | Off-the-shelf construction estimating software | Custom AI module |
|---|---|---|
| Initial cost | 0 to 2,000 EUR setup | 10,000 to 35,000 EUR |
| Subscription or running cost | 40 to 150 EUR per user per month | AI API and hosting 100 to 400 EUR per month |
| Price library | Generic base to adapt | Your prices, times and margins |
| AI breakdown from notes or photos | Rare or basic | Trained on your past estimates |
| Accounting and scheduling integration | Vendor dependent | Tailored |
| Time to go live | 1 to 4 weeks | 2 to 4 months |
Off-the-shelf software is enough for a small firm that first wants to move off Word or Excel estimates. A custom module makes sense from 15 to 20 estimates per month, with a history of several hundred estimates to calibrate the AI.
Building the price library
This is 30 to 40% of the effort. Start from your last 200 to 500 estimates and supplier invoices to create composite work items: for example "60 x 60 floor tiling" = adhesive + tiles + spacers + 0.6 h of labour per square metre. Supplier prices are updated by monthly import; installation times are recalibrated against real jobs every quarter. Count 3 to 6 weeks for a 2,000-item library.
Mini case study
Illustrative scenario: Marc, owner of a 12-person renovation firm in Bordeaux, produces 22 estimates per month at 2 hours each, or 44 hours, with a 30% win rate and an average job of 12,000 EUR. With a 22,000 EUR AI module, time drops to 30 minutes per estimate, saving 33 hours per month valued at 55 EUR an hour: 1,815 EUR per month. Running costs: 300 EUR per month plus 3,300 EUR per year of maintenance, about 575 EUR per month. Net gain: 1,240 EUR per month, payback in 18 months on time alone. If replying within 24 hours instead of 5 days lifts the win rate from 30 to 33%, that adds 0.66 jobs per month, about 1,980 EUR of margin at 25%, and payback falls below 8 months.

FAQ
Can AI send an estimate without review?
No, and it should never do so. A missed work item on a 12,000 EUR job can cost 500 to 1,500 EUR of margin. Review takes 5 to 10 minutes and commits the company.
How many past estimates are needed to calibrate the AI?
As an estimate, 200 to 500 estimates, won or lost, are enough for recurring jobs. Below 100, you rely mainly on the price library and work item templates.
Are photos enough to price a job?
They help identify work items, not measure them. A survey, even a quick one with a laser meter, is still needed for quantities accurate to within 5%.
How do we handle rising supplier prices?
With a monthly price import and an alert when an item moves by more than 5%. Open estimates show a 30-day validity period.
Does the module handle renovation VAT rates?
Yes, with rules by type of work (in France: 5.5% energy renovation, 10% improvement, 20% new build or equipment). The customer certificate is generated with the estimate.
