The verdict in three sentences
A wholesaler receiving 350 orders a day by email and PDF ties up the equivalent of 3 full-time staff on rekeying, with roughly 2 % wrong references paid back in returns and credit notes. AI extraction now costs 0.03 to 0.15 EUR per document and, combined with human review of uncertain cases and direct ERP integration, processes 70 to 85 % of orders end to end. For a 110-employee wholesaler, this is a medium application at Kolonell and pays back within a year.
The real cost of manual order entry
Around Berlin and Brandenburg, electrical wholesalers serve installers, tradespeople and facility management firms who order however they can: a PDF purchase order from their own software, a free-text email with part numbers, a photo of a signed quote, sometimes an Excel file. The inside sales team opens each message, identifies the customer, matches items against a 40,000 SKU catalogue and keys the lines into the ERP, often SAP Business One, Microsoft Dynamics or a sector system.
At 4 minutes per order, 350 orders mean more than 23 hours of keying a day. Errors, a neighbouring part number, a misread quantity, a missing delivery address, are expensive: return logistics, redelivery, a credit note, and a customer who starts looking elsewhere. With German labour costs, every hour counts.
| Item | Current situation | With AI extraction and review | 2026 order of magnitude |
|---|---|---|---|
| Keying time per order | 4 min | 30 s review, 0 s if automatic | 85 % of time saved |
| Orders processed untouched | 0 % | 70 to 85 % | Depends on document quality |
| Wrong references | 2 % | 0.3 to 0.5 % | Catalogue matching |
| Receipt to confirmation | 2 to 6 h | Under 15 min | Automatic acknowledgement |
| Extraction cost per document | Labour only | 0.03 to 0.15 EUR | By model and length |
| Month-end peaks | Overtime | Absorbed without extra staff | Volumes x 1.5 to 2 |
How the automated pipeline works
A dedicated order inbox is polled continuously. Each attachment goes through OCR where needed, then a language model extracts the customer, delivery address, items, quantities, any prices and the requested date. Extracted items are matched against the catalogue and each customer's usual references, because installers rarely write the supplier's exact code.
Every order gets a confidence score. Above the threshold it is created directly in the ERP and the customer gets a confirmation. Below it, the order lands in a review queue where staff see the original document on the left and proposed lines on the right, and correct them in a few clicks. Those corrections improve the matching rules over time.
| Component | 2026 options | Indicative cost | Watch point |
|---|---|---|---|
| AI extraction | LLM API or document extraction service | 0.03 to 0.15 EUR per document | EU data residency |
| OCR for scans and photos | Built into the API or dedicated engine | Often included | Quality of site photos |
| Catalogue matching | Rules + similarity search | Custom built | Customer cross-reference tables |
| Review queue | Business web interface | Custom built | Ergonomics for 8 h a day |
| ERP integration | API, file import or connector | Quoted per ERP | Error and duplicate handling |
| Kolonell project, medium application | 4,000,000 to 7,000,000 FCFA (6,100 to 10,670 EUR) | Fixed price | 2 to 4 months |
A simple application, 2,500,000 to 4,000,000 FCFA (3,810 to 6,100 EUR), is enough when orders come in two or three stable formats. With several ERPs, multiple branches or voice orders, it becomes a complex application, 7,000,000 to 15,000,000+ FCFA (10,670 to 22,870+ EUR). Maintenance follows the 35,000, 75,000 or 120,000 FCFA monthly grid.
What makes it succeed
Three things matter. A real sample of 300 to 500 recent orders to measure the automation rate before committing. A confidence threshold set with the sales team, cautious at first and then raised. And visible metrics: automatic share, review time, errors caught later. GDPR and commercial confidentiality call for APIs that do not train on your documents and keep data in the EU; works council consultation may also apply if the tool measures staff productivity.

Need a professional website?
Kolonell builds websites that attract clients, optimized for the Sénégalese market. Free quote in 2 minutes.
Jonas, head of inside sales at a 110-employee wholesaler in Berlin, starts from 350 orders a day over 225 working days, 78,750 orders a year. At 4 minutes each, that is 5,250 hours of keying. With 80 % automatic and 30 seconds of review for the rest, plus difficult cases, about 900 hours remain. The 4,350 hours saved are worth about 165,000 EUR at 38 EUR per loaded hour.
Errors drop from 1,575 to about 315 a year; at 60 EUR average cost per error, that saves 75,600 EUR. API costs at 0.10 EUR per document stay under 8,000 EUR a year. With a project at 6,000,000 FCFA (about 9,150 EUR) and Standard maintenance at 75,000 FCFA a month, payback is counted in weeks, and the team moves back to advising customers.
FAQ
What automation rate is realistic?
70 to 85 % of orders untouched for software-generated PDFs. For photos or very free-form emails, expect 50 to 65 % at first, rising as cross-reference tables grow.
Can the AI invent a part number?
The risk exists, which is why catalogue matching is mandatory: a reference not found never goes through automatically. With that safeguard, errors fall below 0.5 %.
Do we need a new ERP?
No. The tool creates orders in your existing ERP through its API or a file import. Connector cost depends on the ERP and is set in the quote.
What does the AI cost day to day?
0.03 to 0.15 EUR per document as a 2026 order of magnitude, so 10 to 50 EUR a day for 350 orders. That is negligible against 23 hours of keying avoided.
How long to get started?
Allow 2 to 4 months, including 2 weeks of testing on 300 to 500 real orders. Go-live starts with customers whose formats are most stable.
