AI Invoice Capture and OCR Cost (2026)

Digital Africa

The verdict in three sentences

For a group of three companies processing 2,500 supplier invoices a month, 40% of them on paper, an AI invoice capture solution costs 6 to 15 million FCFA (about €9,150 to €22,900) and is deployed in 2 months. Extraction costs USD 0.02 to 0.10 per invoice, and data entry and checking time falls by about 70%, halving the cost per invoice. Local value lies in the controls: 18% VAT, supplier NINEA tax ID, duplicates and an approval workflow, before a clean export to Sage or Odoo.

What the machine reads, and how accurately

Invoices arrive by email, through the mailroom scanner or as a photo taken on a storekeeper's phone. The engine classifies the document, extracts the header (supplier, NINEA, number, date, due date), the lines, net amounts, VAT and gross total, then matches everything with the purchase order when one exists. Accuracy depends on the medium: 2026 order of magnitude measured on Senegalese invoices.

Document typeShare of volumeCorrect extraction without edits
Native PDF sent by the supplier60%97 to 99%
Clean scan from the mailroom20%93 to 96%
Smartphone photo12%88 to 93%
Handwritten invoice or receipt book8%75 to 85%
Weighted average100%about 94%

Uncertain fields are highlighted for the accounting assistant, who now only checks what the AI flags. Automatic controls verify the 18% VAT calculation, the NINEA format and its presence in the supplier master file, duplicates (same supplier, same amount, same number or date) and any gap with the purchase order.

Cost per invoice processed, before and after

Assumptions: fully loaded accounting assistant cost in Dakar of 2,500 FCFA an hour, AI extraction at USD 0.06 (about 36 FCFA), hosting and maintenance at 300,000 FCFA a month spread over 2,500 invoices.

The monthly saving reaches 860,000 FCFA (about €1,310), roughly 500 hours returned to the team, the equivalent of three data entry positions redeployed to bank reconciliation and tax returns.

A custom build also makes it possible to document processing with the CDP, Senegal's data protection authority, under law 2008-12 on personal data, since invoices contain names and contact details.

Fatou, chief accountant of a Dakar group of three companies (distribution, logistics, real estate), sees her team key in 2,500 invoices a month and miss on average two duplicates paid twice, at 350,000 FCFA each. The project is billed 10 M FCFA (about €15,250) with export to Sage 100 for two companies and Odoo for the third. Monthly saving: 860,000 FCFA of processing time plus 700,000 FCFA of avoided duplicates, i.e. 1,560,000 FCFA a month. Payback: 10,000,000 ÷ 1,560,000, about 6.4 months. The monthly close moves from day 12 to day 6, which senior management notices well before the financial gain.

FAQ

Can AI really read handwritten invoices?

Yes, with 75 to 85% of fields correct without edits, against 97 to 99% for a native PDF. Doubtful fields are flagged, which is still much faster than full manual entry.

How is the NINEA checked?

The tool verifies the format, then matches it against each company's supplier master file. An unknown or inconsistent NINEA holds the invoice in the approval workflow until it is fixed.

Which accounting software is compatible?

Sage 100, Sage X3 and Odoo are the most common in Dakar and have a direct export. Any other software usually adds 0.8 to 2 M FCFA of integration.

Where are our invoices hosted?

In Senegal or the EU, your choice, with the model provider called in zero-retention mode. The processing declaration to the CDP is part of the deliverables.

Why a 2-month project?

Two weeks to collect 300 real invoices and frame the approval workflow, four weeks of development and accounting integration, two weeks running in parallel with manual entry.
