The verdict in three sentences

A Bordeaux wine merchant, or a New York distributor, receiving 1,500 supplier invoices per month can automate their capture for EUR 10,000 to 20,000 excl. VAT (about USD 11,000 to 22,000), with AI extraction accurate to 95% and automatic matching against purchase orders. The processing cost of an invoice falls from about EUR 9 to EUR 2, i.e. more than EUR 120,000 saved over three years at that volume. The project is delivered in 8 weeks, provided the approval workflow and the priority suppliers are scoped from day one.

What a manually keyed invoice really costs

The EUR 9 per invoice figure is not a guess. It adds up receipt, keying, finding the purchase order, chasing the buyer for approval, filing and correcting errors. In a wine and spirits business, invoices for freight, dry goods and logistics providers multiply the formats. US accounts payable benchmarks land in the same range, between USD 8 and 12 per invoice.

Since 1 September 2026, every French company must be able to receive e-invoices through an approved platform. Part of the invoices therefore already arrives structured as Factur-X or UBL, which helps but removes neither matching nor approval, and foreign suppliers will keep sending PDFs. In the US there is no such mandate yet, so PDFs remain the majority.

AI usage cost stays low: EUR 0.05 to 0.15 per invoice depending on page count, i.e. EUR 75 to 225 per month for 1,500 invoices. Application maintenance runs between EUR 150 and 350 excl. VAT per month.

Compared with SaaS tools on the market, usually billed between EUR 0.80 and 1.50 per invoice above a bundle, custom work makes sense when ERP matching is specific, for example purchase orders in litres and invoices in bottles, or excise duties to check.

Mini case study

Claire, chief accountant of a 45-person wine merchant in Bordeaux, runs a team of three who spend most of their time keying 1,500 invoices a month.

  • Current cost: 1,500 x EUR 9 = EUR 13,500 per month, EUR 162,000 per year.
  • Target cost: 1,500 x EUR 2 = EUR 3,000 per month, EUR 36,000 per year, AI usage and maintenance included.
  • Annual saving: EUR 126,000, much of it redeployed to margin analysis and collections rather than headcount cuts.
  • Chosen budget: EUR 16,000 excl. VAT, paid back in just under two months.

FAQ

Is 95% accuracy enough for accounting?

Yes, because the remaining 5% never become entries without review. The tool flags low-confidence fields and the team checks them in 20 seconds. After three months, accuracy often exceeds 97% on recurring suppliers.

What does France's 2026 e-invoicing mandate change?

It structures part of the incoming invoices, but issuing e-invoices only becomes mandatory for SMEs on 1 September 2027. During the transition, a single flow must handle PDFs and structured formats, which the project plans from scoping.

Can we keep our current accounting software?

Yes. The project produces entries in the import format of Sage, Cegid, Pennylane, QuickBooks or your accountant's tool. No software change is needed.

Where are the invoices hosted?

On servers located in the European Union, or in the US region for a New York client, with encryption and 10-year retention as required by the French Commercial Code. The AI model does not use your invoices to train for other clients.

How many suppliers must be configured at the start?

The 30 most frequent suppliers usually cover 70 to 80% of the volume. The others are learned along the way, without technical work.
